Team Overview and Job responsibilities

JOB TITLE: Group CPO Executive Assistant

The Group CPO Executive Assistant will provide high-level administrative support to the CPO and other Executives of his HQ Team. Reporting directly to the CPO, the Executive Assistant provides executive support to the CPO and the senior Managers in HQ directly reporting to him, as indicated from time to time by the CPO

KEY RESPONSIBILITIES:

  • Manage sensitive matters with a high level of confidentiality and discretion (e.g. decisions directly impacting the global operations of the Group)
  • Sustain a daily calendar of meetings and events.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the Purchasing function
  • Arrange travel and accommodations for CPO and his senior Managers. Prepare and manage related expense reports.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by the CPO
  • Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries. 
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance. 
  • Complete ad hoc projects as assigned
  • Organize complex calendars and schedules; resolving any scheduling issues. Fully manage CPO agenda and calendar and look-up CPO mailbox highlighting urgent matters and deadlines

Who are we looking for?

We are looking for a candidate with the following key requirements:

 

  • Strong work tenure: 5 years of experience supporting C-Level Executives, experience as EA for CPO is a plus
  • Demonstrated integrity and capability of managing sensitive and confidential information is a must
  • A Bachelor’s degree is preferred
  • Flexible mind set
  • Ability to communicate effectively and professionally
  • Team working and problem-solving attitude / Team player - have team-oriented experience and approach.
  • Capabilities in managing priorities and time
  • Fluent English both written and spoken, other language is appreciated ( Spanish, French…)
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Microsoft Teams, as well as SAP
  • Strong ability to network and work with international teams
  • Available when necessary to work overtime / flexible hours as dictated by the needs of business for projects and meetings
